ChatGPT prompts that actually save you hours at work
Most people type into ChatGPT the same way they Google — a short question, hit enter, hope for the best. The professionals getting real hours back every week don't do that. They use prompt patterns: reusable templates with a role, context, input, and output format. Here are the 20 patterns I use most, grouped by task, with fill-in-the-blank templates you can adapt today.
Why prompt structure matters
A prompt like "write me an email" produces generic output because the model has no idea who you are, who you're writing to, or what "good" looks like. A structured prompt — role, context, constraints, format — collapses three drafts into one. The pattern is always the same: tell the model who it is, what you have, what you want, and what the answer should look like.
1. Email & communication
Template: The polite pushback
You are my writing assistant. Rewrite the message below to sound calm, professional and firm. Keep it under 120 words. Preserve the facts. Do not add new information.

Use it when you need to say no, chase an overdue reply, or push back on scope. The "do not add new information" line is what stops hallucinated details from sneaking into your email.
Template: Meeting recap → action email
Turn the meeting notes below into a short email to attendees. Structure: 2-sentence summary, bulleted decisions, bulleted action items (Owner — Task — Due date). No fluff.
2. Reports & documents
Template: The one-pager
You are a senior analyst. Turn the material below into a one-page brief for a busy executive. Sections: TL;DR (3 bullets), Context, Recommendation, Risks, Next steps. Plain English. No jargon.
This single template replaces the "please summarise" prompt everyone starts with. Forcing named sections gets you consistent structure every time.
Template: Compare and recommend
Compare the two options below on: cost, time to implement, risk, upside. Output a Markdown table. Then give a one-paragraph recommendation with your reasoning.
3. Research & learning
Template: Explain like I'm a smart 12-year-old
Explain [topic] to me as if I'm a smart 12-year-old. Use a concrete analogy. Then give me the 3 most important terms I need to know.
Better than "explain like I'm 5" — you get analogies without losing the real vocabulary. Great for onboarding into any new domain fast.
Template: Steel-man / weak-man
Give me the strongest possible argument FOR [position], then the strongest argument AGAINST. Then flag which side has the better evidence and why.
4. Meetings
Paste a transcript (Zoom, Meet, Otter — most export to text) and use these two prompts back-to-back:
1) Extract every action item. Format: Owner — Task — Due date (if mentioned). Do not invent owners.
2) List every open question we did NOT resolve, so I can follow up.
5. Coding & spreadsheets
Template: Explain this error
Here is an error message and the code that produced it. Explain in plain English what's wrong, what usually causes it, and the smallest change that fixes it.
Template: Formula from description
Write me a Google Sheets formula that does the following: [describe outcome]. Assume data starts in row 2. Column A is [x], column B is [y]. Give me the formula and one sentence explaining how it works.
6. The rules that make everything better
Add any of these to any prompt above and outputs improve immediately:
- "Ask me up to 3 clarifying questions before you answer." Kills 80% of wrong-answer loops.
- "If you're unsure, say so — don't guess." Reduces hallucination on facts.
- "Answer in Markdown with headings and bullets." Makes long answers scannable.
- "Show me 3 versions with different tones." Great for copy, emails, and headlines.
How to actually save the hours
The one habit that separates people who save time with AI from people who just play with it: save your best prompts. A Notes file, a Notion page, whatever — a place you can paste from in two seconds. Once you have 10 templates you actually reuse, ChatGPT stops being a novelty and starts being infrastructure.
